The situation

By 11 am the front desk was drowning — two phones, a queue, and the same forty questions on loop. By 9 pm the clinic went dark, and so did every enquiry that arrived after. The doctors were excellent. The problem was never medicine; it was that finding, asking and booking this clinic was harder than it had any right to be.

The director's brief was one sentence: "I don't want to hear 'we tried calling' ever again." We took that personally.

What we did — week by week

Week 1

Listened before building: audited three months of call logs and WhatsApp chats, and sat with the front desk for two days. Their forty most-repeated answers became the bot's first brain.

Weeks 2–3

AI receptionist live on WhatsApp — answering timings, fees, doctors and directions in seconds, at 11:42 pm as happily as 11:42 am. Every flow finishable with taps; "talk to a human" one tap away, always.

The misstepWeek 4

Our first version sounded like a bank. "Dear patient, we acknowledge your query" — and drop-offs showed patients felt it. We threw the copy away and rewrote every message in the front desk's own phrases, "ji" included. Completion rates recovered within days. Lesson kept: the bot borrows its voice from the people it helps.

Weeks 5–8

Booking opened inside the chat for the two busiest departments, wired into the same register the front desk uses. Reminders at 24 hours and 2 hours, one-tap reschedule — no-shows became moved slots instead of empty chairs.

Weeks 9–12

Local search campaigns switched on to feed the machine — because a receptionist this good deserves a fuller waiting room. Enquiries compounded; mornings got calmer, not busier.

Their words

The front desk didn't lose a job. It lost the part of the job everyone hated.
